OptiMom ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our family scheduling application (the "Service"). Please read this policy carefully. By using OptiMom, you agree to the practices described in this policy.

1. Information We Collect

1.1 Information You Provide Directly

  • Account Information: When you register, we collect your name and email address.
  • Family Information: Family name, home address, children's names and preferences, caretaker names and contact details, vehicle information, and scheduling details you enter.
  • Activity Data: Activities, schedules, carpool plans, holidays, and registration reminders you create.
  • Communications: Feedback or messages you send us.

1.2 Information Collected Automatically

  • Usage Data: Pages visited, features used, and actions taken within the app (e.g., when activities or carpools are created).
  • Device Information: Browser type, operating system, and IP address.
  • Cookies and Similar Technologies: We and our platform provider (Base44) use cookies and local storage to maintain sessions and remember preferences.

1.3 Information from Third Parties

  • AI Processing: When you use AI-powered features (activity import, carpool import with hierarchical rule parsing), documents or images you upload are sent to AI services for processing. We do not store these files beyond what is necessary to complete the operation. The AI analyzes carpool schedules to extract general rules (e.g., "All days"), day-of-week patterns, and specific date overrides to automatically populate your carpool assignments.
  • Mapping Services: We use Geoapify for address autocomplete and routing. Your address queries are sent to Geoapify per their Privacy Policy.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Create and manage your account and your family's account
  • Generate and optimize family schedules using AI algorithms (including hierarchical carpool rule parsing)
  • Extract and organize carpool assignments from documents using AI vision and text processing
  • Send invitations to family members and caretakers you designate
  • Improve and personalize the Service
  • Respond to your inquiries and provide support
  • Monitor usage patterns to ensure performance and reliability
  • Comply with legal obligations

We do not sell your personal information to third parties. We do not use your family's scheduling data for advertising purposes.

3. Data Sharing and Disclosure

3.1 Within Your Family

Information you add (children, activities, schedules) is visible to all members you invite to your family group within OptiMom.

3.2 Service Providers

We share data with third-party service providers who assist us in operating the Service, including:

  • Base44 – Our application platform provider, which provides hosting, database, authentication, and infrastructure services. Base44 processes your data on our behalf pursuant to their data processing terms.
  • AI Model Providers – For AI-powered features, content you submit (e.g., uploaded documents) may be processed by AI providers. This data is used solely to generate a response and is not used to train models.
  • Geoapify – For address search and routing.

3.3 Legal Requirements

We may disclose your information if required by law, regulation, legal process, or governmental authority, or to protect the rights, property, or safety of OptiMom, our users, or others.

3.4 Business Transfers

If OptiMom is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will provide notice before your data is transferred and becomes subject to a different privacy policy.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Service. You may delete all your family data at any time through the Settings page. Upon deletion, your data is permanently removed from our active databases. Backup copies may persist for a limited period in accordance with our platform provider's policies.

5. Data Security

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These include:

  • Encryption of data in transit (TLS/HTTPS)
  • Row-level security ensuring each family can only access its own data
  • Authentication required to access any family data

However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

6. Children's Privacy

OptiMom is designed for use by parents and adult caretakers. We do not knowingly collect personal information directly from children under 13. Information about children (such as their names and school schedules) is entered by parents and managed under the parent's account. If you believe we have inadvertently collected personal data from a child under 13 without verifiable parental consent, please contact us so we can delete it.

7. Your Rights and Choices

Depending on your location, you may have the following rights:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate personal information.
  • Deletion: Request deletion of your personal information. You can delete all family data directly from the Settings page in the app.
  • Portability: Request a machine-readable copy of your data.
  • Objection / Restriction: Object to or request restriction of certain processing activities.
  • Withdraw Consent: Where processing is based on consent, you may withdraw it at any time.
